Job Description:

This position reports to the Undergraduate Administrative Coordinator (UAC) and provides support for the Nursing Department Undergraduate Program Directors and Undergraduate Faculty, Program Director-associated responsibilities, and acts as backup to support the Graduate Program Director and Graduate Faculty. The Administrative Assistant is the main point of contact for current undergraduate baccalaureate nursing students, alumni, and prospective students and at lesser times for graduate programs.

The Undergraduate Administrative Assistant supports the Nursing Program in meeting the needs of the pre-licensure and registered nurse pre-baccalaureate nursing students, faculty, institution, and external partners by assisting in initiating, establishing and maintaining student records, including academic standards, advising records, and all related documents while maintaining ongoing communication with all stakeholders both internal and external. In addition, assist with overseeing all student documentation related to applications, academic records, orientation, health clearance, clinical partners, and multiple State Education Departments for licensing verification purposes.

In collaboration with faculty, help to ensure all students to achieve their course, program, and accreditation outcomes successfully.

The successful candidate will have:

+ Professional demeanor and behavior. Strong interpersonal skills.

+ Ability to work with others, as well as being self-directed to make decisions in collaboration with faculty and staff and external stakeholders.

+ Proficiency in Microsoft Office Products including Excel Spreadsheets, google Docs and ability to work independently to create and manage database information with limited errors.

+ Ability to prepare professional quality correspondence and department documents for reports both internal and external.

+ Experience with monitoring budget and supply ordering.

+ Ability to demonstrate initiative, manage issues professionally and independent problem solving.

+ Knowledge of academic environment and supervision experience helpful.

+ Develop and maintain excellent working relationships with multiple health care leaders and providers at many institutions.

+ Communicate clearly, professionally and calmly.

+ Create and improve systems for organization of multiple variables (e.g., maintain accurate and detailed reports and records).

+ Be flexible and effectively perform job during unexpected situation or changing conditions.

+ Demonstrate professional commitment in a reliable and communicative manner.

+ Exhibit initiative to solve or improve problems and situations proactively without needing supervision.

+ Manage time to accomplish tasks efficiently and effectively

+ Be a team player

The estimated wage range is $15.75 to $17.00 per hour for 37.5 hours per week for 52 weeks.


+ Associate Degree or comparable training and experience.

+ Skills in Microsoft Suite including Excel required.

+ Previous office experience in a fast-paced setting that requires multiple interactions

+ Ability to organize and complete projects with minimal supervision are essential.
