Behrend Information Technology Services (BITS) is seeking qualified candidates for a Full-Time Administrative Support Assistant to assist in supporting the campus technology needs. This position reports to the IT Director.

BITS is a dynamic and engaging team with a strong emphasis on service. Our Administrative Support Assistant is an integral member of our team and the core of our success. Applicants must be reliable self-starters with a passion for helping others and possess excellent verbal and written, communication, organizational, and computer skills. The successful candidate must be able to problem-solve with minimal supervision, be committed to providing an inclusive and welcoming environment, and handle confidential matters appropriately.

Responsibilities include:

+ Assist in daily office operations and activities.

+ Coordinating key requests and card swipe door access.

+ Develop new processes or procedures relevant to the support needs of our office.

+ Answer and triage support phone line and Greet customers and visitors entering the suite.

+ Arrange and coordinate meetings and events. This can include managing calendars, booking travel, scheduling facilities and equipment, taking notes, and processing payments for travel reimbursements.

+ Procure, receive, process, and track payments and chargebacks on IT equipment, service contracts, warranties, and office supplies.

+ Enter and process service requests for IT staff.

+ Maintain departmental IT inventory and process salvage records.

+ Update digital signs and make routine website content changes.

+ Scanning \ processing tests.

+ All other duties as assigned

Preferred skill and experience or ability to learn quickly include:

+ Ability to adjust to an ever-changing work environment.

+ Use Penn State’s System for Integrated Management, Budgeting, and Accounting (SIMBA).

+ Ability to work independently as well as in a team environment and with sensitivity to varied personalities.

+ Ability to learn and work in university software applications including but not limited to WorkLion, SAP Concur, Microsoft Teams and Office 365, ZOOM, Cisco Jabber, Service Now ticketing system, Test scanning, and room scheduling software

+ A high commitment to customer service

This position typically requires?a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
