Job Description

Tewksbury Hospital, operated by the Massachusetts Department of Public Health (DPH), is seeking an experienced administrative and detail-oriented professional to assist the Nursing Department with a variety of clerical and support duties in the areas of staff scheduling. The selected candidate will input, maintain, and modify data on scheduling staffing systems for all units and float staff, as well as aid the Chief Nursing Officer (CNO) with special projects as needed. Schedule: 37.5 hours per week, Monday through Friday. */_Duties and Responsibilities (these duties are a general summary and not all inclusive):_/* * Assists Nursing Department in generating and maintaining schedules on a daily basis by inputting information for all shifts and units. * Prepares monthly/master schedules with direction from Staffing Coordinator and Staffing and Scheduling Supervisors. * Supports and assesses staffing needs and functions in procuring staff (soliciting overtime, extra time, or agency coverage as authorized). * Assists time approver in reviewing reported time, use of appropriate time codes, missing swipes, and leave time entry; Responds to inquiries from employees related to time. * Serves as liaison between Nursing staff and the Human Resources Department regarding payroll issues. * Assists in the administrative hiring process for clinical positions including maintaining information in the applicant tracking system (ATS). * Partners with Staffing and Scheduling Supervisors to ensure nursing coverage for all shifts. * Notifies and tracks employee leave requests; provides follow-up on approvals and denials. * Answers telephone calls, sick calls and adjusts schedules, accordingly, finding replacement staff when needed. * Collaborates with Training and Staff Development Department to schedule and track classes for Nursing Department. * Provides overall support to the CNO as needed, including data collection, drafting documents, and distributing correspondence. * Maintains documentation to ensure Joint Commission and CMS standard compliance. */_Required Qualifications_/**/:/* * Capacity to communicate effectively, draft concisely, express thoughts clearly and develop ideas in a logical sequence. * Ability to use proper grammar, punctuation, and spelling. * Talent for preparing documents and reports accurately. * Skilled in assisting customers of diverse backgrounds. * Ability to work independently and demonstrate strong organizational skills. */_Preferred Qualifications_/**/:/* * Knowledge of clerical office practices and procedures including recordkeeping, office correspondence control, typing and use of office equipment, supplies and business preparation. * Understanding of best practices for relationship building and effective collaboration. * High level of self-motivation and accountability, bringing enthusiasm and energy to team and tasks * Detail-oriented and highly organized, with strong ability to successfully multi-task * Strong written and oral communication skills, and proficiency in Microsoft Office applications including Excel, Outlook, PowerPoint, Teams, and Word */_About Tewksbury Hospital:_/* Tewksbury Hospital operates a 370-bed facility and a campus of over 700 acres of land.
