The Hiring & On-boarding Coordinator is responsible for leading the business line side of the hiring process including interviewing for associates and leadership roles, coordinating with Talent Acquisition, Learning & Development team and the Investor Services leadership team. In addition, they are This position will establish hiring workflows priorities and ensure timely and accurate completion of related policies and procedures.
Supports the hiring and on-boarding process of new hires within the Contact Center:
+ Coordinates with Talent Acquisition to develop efficient and successful workflows to ensure excellent candidate experiences and successful on-boarding of new talent within team.
+ Leads and coordinates all associate level interviews; leveraging additional resources within the team as needed based on availability.
+ Coordinates panel interviews for leadership roles in collaboration with Contact Center leadership team; participates in interviews as needed.
+ Collects and consolidates interview feedback to share with Talent Acquisition and leadership team to coordinate next step for candidates.
+ Coordinates on-boarding activities with new hires and respective Manager/Supervisor for new Associates joining the team.
+ Notifies New Associate Manager of expected new hires and reviews regularly with them candidate progress within the hiring and on-boarding process.
+ Provides support to New Associate Manager/Learning and Development coordinators during first 2 weeks of new associate training as needed
+ Coordinates with Talent Acquisition and New Associate Manager for new hire on-boarding requests for equipment and system access; including working with internal technology partners to coordinate shipping of equipment and maintaining inventory of equipment provided to Associates.
+ Ensures new hires receive expected equipment and able to properly setup and access all required systems for their new role.
+ Serves as a primary point of contact for system issues, ensuring timely resolution in partnership with technology partners and SME’s. Determines when escalation is necessary following proper process and escalation workflows.
+ Manages and participates in a variety of special projects as needed
+ Bachelor's degree or equivalent combination of formal education and work experience.
+ 3 - 4 years transfer agency or related operations experience, including 1 - 2 years senior specialist experience preferred.
+ Detailed knowledge of transfer agency operations policies, procedures and legal requirements.
+ Basic knowledge of financial services industry preferred.
+ Ability to communicate clearly and effectively, both verbally and in writing, in order to exchange information with management, staff, and various external contacts, to explain policies and corporate guidelines and to present recommendations to upper management.
+ Ability to execute assignments within established time-frames and quality standards, while responding to immediate needs.
+ Ability to manage personnel, including training, evaluation and communication of expectations, requirements and results, and ensuring implementation and consistent application of department policies, procedures, and quality standards.
+ 1-2 years of hiring experience, to include interviewing candidates at multiple levels: associate level as well as leadership roles
