Job Description

The Massachusetts Department of Public Health (DPH) is seeking a dynamic individual to work in the Bureau of Family Health and Nutrition (BFHN) within the Division for Children and Youth with Special Health Needs (DCYSHN). The Data Support Specialist will collaborate with others in DPH to ensure that services are provided quickly and accurately for, and on behalf of, children and youth with special health needs and their families. The selected candidate will be responsible for providing data entry, data collection and research and administrative support for programs in the DCYSHN including: * The Catastrophic Illness in Children Relief Fund (CICRF) * The Care Coordination/Community Support unit (CC/CSU) * The Universal Newborn Hearing Screening Program (UNHSP) */_Duties and Responsibilities (these duties are a general summary and not all inclusive):_/* * Provides data support for multiple DCYSHN programs utilizing a variety of software including MS Access, MS Excel, and MS Word * Assists CICRF Director and six (6) program coordinators in distributing mail, entering applications from families into the MS Access database and tracking information from families * Customizes, mails and scans template hospital releases and cover letters to request income and expense documentation from CICRF referral sources, providers, and families; tracks this data in case files and spreadsheets * Processes UNHSP hearing evaluation forms from their receipt in spreadsheets and secure email messages to the proper record in the UNHSP MS Access database; creates follow-up tasks appropriately for the various follow-up specialists * Provides follow-up with UNHSP reporting audiologists regarding incomplete reports * Responds to UNHSP diagnostic center directors to ensure all hearing evaluation forms have been received, and with hospital newborn hearing screening program directors to ensure all screening results have been reported * Processes UNHSP monthly reports sent from certain hospitals to identify infants transferred out of their birth hospitals without newborn hearing screening so that queries are directed to each child’s final hospital * Serves as key data contact for UNHSP reporting audiologists and hospital newborn hearing screening program directors * Processes and runs queries in MS Access and compile data into reports for CC/CSU Data Manager for various programs * Partners closely with CC/CSU Data Manager in managing data reporting from the various programs for grants and other data requests */_Required Qualifications:_/* * Demonstrated knowledge of methods and techniques used in the collection of research data, including the ability to compile and prepare technical statistical data * Capacity to work accurately with names, numbers, codes and/or symbols * Ability to communicate effectively, write clearly and concisely, and maintain accurate records * Excellent written and verbal communication skills * Skilled in drafting reports and preparing charts, graphs, and tables * Capacity to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations */_Preferred Qualifications:_/* * Bachelor’s degree in public health or relevant degree * Bilingual capacity in English plus Haitian Creole, Chinese, Spanish, Portuguese, or another non-English language of demographic importance in Massachusetts. * Proven ability to facilitate in cross-cultural and interdisciplinary communications * Good attention to detail and strong organizational skills * Ability to prioritize and manage multiple tasks * Strong interpersonal skills, including ability to establish rapport and deal tactfully with others * Ability to deal confidently with seasoned medical professionals * Keen understanding of the need to respect the privacy of citizens providing confidential health data * Demonstrated ability to work collaboratively with a wide variety of staff demonstrating personal initiative as well as the ability to work well in a team. * Capacity to work collaboratively with a diverse staff and embrace diversity as an advantage. * Skilled in the desire to work in a team-oriented, fast paced, professional public health environment. * Proficient usage of Microsoft Office products including Word, Access, Excel, PowerPoint, Teams and Outlook. *_Agency Mission:_* The mission of the Massachusetts Department of Public Health (DPH) is to prevent illness, injury, and premature death, to assure access to high quality public health and health care services, and to promote wellness and health equity for all people in the Commonwealth.
