Executive Administrative Assistant Long-Term Contract Assignment
Job Duties and Responsibilities:
Performs a variety of advanced secretarial and/or administrative duties and activities in support of a division's executive management team and/or to the head of a corporate staff function.
Establishes and maintains files and performs purchasing and accounting activities.
Maintains calendar and schedules appointments and meetings for manager.
Relieves manager of routine administrative matters and reports.
Responsible for sorting, opening, reading, distributing and redirecting (if necessary) mail.
Process and verify travel arrangements and ensure all necessary accommodations are taken care of.
Typing internal/external correspondence.
Initiate the preparation of expense reports for executive team.
Organize internal and external meetings, including catering as necessary.
Performs general office duties.
Track signatures, documents, and files to be submitted (e.g. performance reviews, annual goals and competence development forms, monthly reports, KPIs, etc)
Administer general communications (faxes, emails, letters, courier services, intra company mail, etc.)
Order and maintain inventory of office supplies and hardware.
General support for department as needed.
Responsible for compiling KPIs for Spare Parts and Return Management and reporting to management team.
Responsible for compiling Monthly Business Report.
Reports directly to Head of Spare Parts and Return Management.
Must be able to maintain confidentiality
Knowledge of Microsoft Office applications: Word, Excel and PowerPoint
Must be able to work independently with great accuracy.
Ability to multitask and meet deadlines.
Strong organizational and interpersonal skills
Good Communication skills
Requires a High School degree or equivalent and a minimum of 6-8 years of related experience.
Performs work under minimal supervision
