As the Facilities Manager you will:

As the Facilities Manager you will maintain physical assets and in conjunction with Accounting & Finance, perform minor maintenance and repairs, assist with capital projects, vendor proposals, building security in conjunction with the firm CISO. Lead fire and safety processes, trainings and evacuations, coordinate parking in conjunction with Human Resources, maintain floorplan updates to include onboarding and off boarding colleagues. You will be the liaison for property management, as well as outside contractor services. Responsibilities also include daily tasks in firm software platforms, providing support for scheduled meetings and events, as well as other team related tasks. The role involves coordination of services with firm vendors; building engineers, etc. to maintain physical space on a day to day basis that is done in an effective, safe and cost-effective manner with minimal impact on day to day business. This role includes providing superior customer service.

Additional Responsibilities:

* Perform light maintenance duties such as fixing door handles, assembling/disassembling furniture, clean-up of vacated space, hanging pictures and whiteboards, and related activities

* Assist with colleague moves

* Build and maintain relationships with employees, provide timely response, and follow-up to KACE and Galileo requests

* Supervision of selected outside contractors/vendors reviewing costs and schedules and ensuring compliance with safety, building and operational procedures

* Ensure that all facility systems comply with applicable, building and safety codes

* Provide project assistance for capital projects, major repairs and maintenance. Supervise equipment installations and building projects

* Responsible for implementing and maintaining the Preventative Maintenance Program

* Conduct daily building inspections for upkeep, safety, and ensure all required building inspections are completed

* Maintain security and access for all leased space. Responsible for issuing and control of access to the property in accordance with security processes. Review daily reports, cameras and systems

* Maintain proper control of materials and supplies

* Coordinate inspections, maintenance and documentation for onsite elevator

* Reconcile monthly team expenses

* Work with CISO regarding Business Continuity and maintain records and processes.

* Coordinate 2 annual AED/CPR trainings and maintain rosters, RX and online platform for AED equipment in all firm offices

* Facilitate the annual Fire Evacuation process in conjunction with property management. Maintaining adequate Fire Marshals and facilitating an annual review of evacuation processes

* Update the firm internal communication platform with floorplans, notices, etc.

* Identify opportunities for improvement in sustainability; recycling, etc.

* Identify opportunities for improvement in security, maintenance, general facilities, etc.

* Subject to frequent overtime, evening and weekend work for renovations and events

* Back up support for team members and supervisor during vacations, etc.


* High School diploma and five (5) or more years related experience in building maintenance or skilled trades

* Some knowledge of building codes and blueprints

* Available for on call and emergency work when needed

* Proficiency with Microsoft Office (Word, PowerPoint, Excel)

* Experience with some project management

* Proven excellent customer service

* Excellent collaboration skills

* Must be able to work as a team and independently

* Must have strong written and verbal communications skills

* Ability to effectively communication with senior level executives

* Familiarity S2 Security Platform or other card access related software

* Must be able to lift to 50 pounds unassisted, as well as pushing and pulling and able to climb and stand on ladders

* Working knowledge of basic maintenance tools


* Excellent interpersonal and communication skills

* Highly Organized

* Proficient in MS Outlook

* Pleasant phone manner

* Working knowledge of office equipment

* Positive attitude and strong work ethic

* Problem solving skills to accurately assess situations and apply processes to resolve

Work Conditions

* 40+ varied hour on-site work week; occasional travel to other offices

* Standing or walking for extended periods of time when working throughout the office

* Lifting and/or transporting of moderately heavy objects, such as copier paper boxes, file cabinets, moving furniture
