Scheduling Coordinator

Home Instead Senior Care is the industry's trusted worldwide provider of in-home assistance for seniors. Our Portsmouth, NH office is looking to add a full-time Scheduling Coordinator to our administrative team. Additional Requirements:

  • Full Time availability: Mon Thurs 8AM 5PM, Fri 8AM 4PM with flexibility to extend hours later if needed to ensure all shifts are filled and tasks are complete.
  • Adhere to all company policies, procedures and business ethics codes and ensure that they are communicated and implemented within the team.
  • Ability to multi-task, problem-solve, prioritize daily tasks, work independently and as part of a team.
  • Administrative or business experience preferred.
  • Experience with Microsoft Office, or ability to grasp concepts quickly required.

Primary Responsibilities:

  • Create and maintain client and CAREGiver schedules with an emphasis on creating high quality, ongoing matches and the development of extraordinary relationships.
  • Monitor, mediate, and log all client and CAREGiver activity utilizing the Clearcare software system.
  • Follow up with all client, client family and CAREGiver scheduling questions/issues to ensure their problems are resolved.
  • Enter and maintain accurate client and CAREGiver records in the Clearcare software system.
  • Follow up and communicate CAREGiver and client scheduling questions/issues to ensure problems are resolved.
  • Recognize and capture opportunities to increase service hours in scenarios to enhance and/or increase quality care.
  • Work daily with the scheduling team contacting current caregivers via phone, email, and text about their availability to fill open client shifts.
  • Communicate effectively in a positive manner with internal team members.
  • Identify appropriate caregivers for each client based on level of care, availability, location, personality and interests.
  • Communicate with clients and their families regarding their schedules in a timely manner.
