The UW Finance Transformation Program (UWFT) is a $200M initiative to replace the University's financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW's highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.

The UW Finance Transformation Program has an excellent full time opportunity for a Project Management Office (PMO) Analyst to support the team. The PMO Analyst will coordinate and work with the UWFT Project Management Office (PMO) and UW's project teams to develop, enhance, and support the project management tools, utilities, and processes. The primary objective of the role is to allow project managers, leads and team members to focus on project execution, by providing a smoothly-running project management support environment. This position will have an additional focus on vendor management, which will be critical to the ongoing balance of deliverables between the UW and implementation partner (consulting partner).


Maintain and Support Project Management System and Processes:

Performs analysis of project work plans, change requests, change orders, risks, and issues in order to identify any potential impacts to the project schedule or work plan. Reports weekly to the PMO. Escalates to Project Director as needed.

Responsible for all formal sign-off documentation related to deliverables, critical and payment milestones, and change requests. Coordinates with Finance Manager on certification of documents associated with payment milestones and change orders that impact budget. Acts as liaison between project team and the project management system in order to facilitate universal usage across the project; for example, exportation of work plans for specific work streams so as to leverage existing capabilities in capturing status and driving activity. Trains and supports team members in PMO tools and processes (initial training, new team onboarding, and ongoing support and enhancement). Coordinates with PMO vendor for support, and issue resolution. Ensures PMO data backups are retained and archived on a weekly basis.

Program Management Operations:

Analysis of risks, issues, dependencies, change requests, blockers, and change orders. Reports to Program Operations Manager on any items that could potentially impact project budget, timeline, resources, and scope. Prepare documentation for PMO weekly meeting. Review all items weekly to identify potential duplications, recurring issues, and trends. Report findings to Program Operations Manager. Perform research on items as requested. Responsible for the timely completion of the assessment and feedback loops in the Risks, Issues and Change Request process flows. Acts as the gatekeeper for all incoming and outgoing communications regarding risks, issues, dependencies, change requests, blockers and change orders.

Complete ongoing vendor management activities - work to ensure that vendors meet or exceed contractual obligations by delivering services on time and within scope; act as primary point of contact for vendor in terms; track, measure, report on and evaluate vendor performance; assist in project planning with vendors, and follow up with program leadership to communicate status of deliverables.

Bachelor's Degree in Business Administration, Information Science, or related areas

Minimum 5 years' experience working in a service role, providing support to internal or external customers.

Experience with system administration.

Expert level user of productivity tools, including Microsoft Word, Excel, PowerPoint, and reporting tools.

Strong analytical skills and the ability to manage details.

Work effectively and cheerfully under pressure.

Demonstrated experience as a collaborative team member with good communication skills, including the ability to report important issues and options clearly to supervisor.

Ability to work independently.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.


Experience with project management software.

Expert level user configuring and management Microsoft SharePoint.
